How We Review HR Software

TopHRSoftware reviews HR software against criteria set for each category, checks every price and plan limit against the vendor's own pages, and updates pages when products change. This page explains the full process.

Our review process

  1. Define the buyer scenario. We decide who the page is for: role, company size and the systems they already use.
  2. Build the shortlist. We list the active tools in the category and remove tools that are discontinued or do not serve the scenario.
  3. Collect evidence. We read vendor documentation, pricing pages, help centers and security pages, and we sign up for free trials or demos where possible.
  4. Read user reviews. We read recent G2, Capterra and TrustRadius reviews, with extra attention to critical and mid-range reviews.
  5. Score against the category criteria. Each tool is judged on the criteria and weights below.
  6. Editorial review. A second team member checks the facts, sources and dates before we publish.
  7. Publish and update. We publish the page and update it when prices, plans or key features change.

What we evaluate

Criteria change by category, because a payroll tool and a recognition tool solve different problems. Weights show how much each criterion counts in our ranking.

Performance management, OKR and feedback software

  • Review, goal and feedback workflows (30%): review cycles, calibration, 360 feedback, OKR check-ins, 1:1s
  • Adoption inside daily tools (20%): works inside Microsoft Teams, Slack or Google Workspace; reminders; mobile access

How we score and rank

  • Rankings are scenario-specific. A tool can be first for Microsoft 365 companies with 500 employees and lower on a list for startups.
  • We show fit by company size on reviews and lists, because a tool that suits 50 employees may not suit 5,000.
  • In user reviews, volume and recency count more than the star rating alone. A 4.3 average across thousands of recent reviews tells us more than a 4.8 across a few dozen.
  • Missing information lowers our confidence in a claim. It does not change the tool's rank by itself, and we say on the page what we could not confirm.

  • Vendor pricing pages, product documentation and help centers
  • Vendor security, trust and legal pages
  • Official app marketplaces such as Microsoft AppSource
  • Our own free trials and demos, where the vendor offers them

Used with care

  • G2, Capterra and TrustRadius reviews. We use them for how the product feels in daily use, not as the source for prices or features.
  • Vendor sales conversations. We confirm what we hear against written documentation before we publish it.

Not used as a source of facts

  • Unsourced roundups and other sites' best-of lists
  • AI-generated summaries
  • Anonymous forum posts that we cannot confirm

How we check prices and hidden costs

  • Every price on the site comes from the vendor's own pricing page or a written quote, and we check it again each time we update the page.
  • When a vendor offers monthly and annual billing, we state which one a price refers to.
  • We list the costs buyers often find late: implementation fees, minimum seat counts, annual-only contracts, paid add-on modules, SSO on higher plans only and, for EOR services, deposits and FX fees.
  • When a vendor does not publish prices, we say so and do not estimate.

How we keep pages up to date

  • We update a page when a vendor changes prices, plans, key features or integrations, when a new tool enters the category, or when a reader reports an error.
  • We review our most-read pages every quarter, even when nothing has been reported.

What our methodology does not do

  • It does not replace a demo or a trial with your own data. Use our pages to build a shortlist, then test the tools.
  • It does not give legal, tax or compliance advice. For payroll and EOR decisions, confirm local rules with a qualified adviser.
  • It does not guarantee that a vendor's price or feature is still the same today. Check the vendor's pricing page before you buy.
  • It does not rank tools by commission. No vendor pays for inclusion or placement.
